We are all working to adjust to the interruption that the pandemic has caused in our families, our schools, and in our professional lives.
While the current events are unprecedented, the same strategies that ERPA proactively implements for our PeopleSoft hosted and managed support clients to ensure business continuity in diverse situations are applicable in this situation.

Transition to a Remote Workforce

One of the tactics being implemented to slow the spread of the virus is social isolation. From a business perspective, this drives a transition to a remote workforce. Organizations need to plan for this.
For those that don’t routinely support remote activity, this can be a daunting task. Here is a starting point in your planning. It is in no way exhaustive. ERPA has additional material on our website to help.

1. Personnel Risk Assessment

Consider which roles need to continue to work on-site, evaluate who is equipped to work remotely, and identify the risks for each role. Social Isolation works when fewer people work in proximity, and doesn’t require all people to work remotely.

Consider individuals that would be irreplaceable should they become unavailable and develop a strategy for dealing with that. Are cross training or staff augmentation viable options?

2. Systems Risk Assessment

Review each system that will be used to support a remote workforce. Teleconferencing, collaboration and secured remote access are key. Consider employee methods of access such as internet and cell phone services. Make sure that 3rd party providers are contracted for a period of time that will cover the expected disruption.

3. Operational Risk Assessment

Review operations that require physical attention. These include processing mail, generating billing statements, and issuing printed checks. Look for activities that are unlikely to be completed through remote access and make plans.

Be proactive: Remember… the people that are providing services to your organization are also experiencing these disruptions. Reach out to make sure your organizational dependencies can be met.

Communication is key: Working remotely requires all of us to make communication a focus. Over communicate and make sure that people have access to contact lists.
Be flexible in your approach. The response is changing, be prepared to alter plans accordingly.
